The User Management page allows users in navigating access and managing roles within their memberships. This page also provides information on the following topics:
User Access
Key Contacts
Boards and Committees
The Employees tab is replaced by Used tab in the latest release.
To access the Users management, perform the following steps:
1.Login to Organization Dashboard.
2.On the vertical sidebar navigation menu, click Users.
The Key Contacts tab is dedicated to displaying and managing who has access to the Organization Dashboard. The Key Contact list provides list of users from your organization along with their affiliated roles.
The first five affiliated roles are displayed in the Type column and the rest of the affiliated roles can be checked in the edit option of the user profile.
The Key Contacts page also performs the following actions:
List of users in list view and group view.
Filtering of key contacts
Invite a Key Contact
Profile view of the key contact
Edit access of a key contact
The Key Contact table provides you with a list of users from your organization along with their with their affiliated roles. You can view the Key contacts in a list or in a group view. List View provides you the list of users with their affiliated roles and group view provides you with the list of users grouped for a particular project.
You can use the toggle button to display Key contacts in Group View or List View.
Administrator can filter key contacts based on a particular project.
To filter key contacts by project, perform the following steps:
1.Click Filters. Select the required project and click Apply.
Administrator can add a user as key contact to a particular project.
To add a user as a key contact, perform the following steps:
1.Click User menu from the vertical sidebar menu.
2.The User page appears. Select Key Contacts table and click Add Key Contacts button available on the top right of the page.
3.The Add Key Contact dialog box appears. Enter the User email, select the Active Project Membership, select the Contact Type and you can make the contact as Primary by selecting the Set as Primary.
The available roles are listed in the Contact Type list and if there are no roles or seats available for a particular role, it will not appear in the Contact Type list.
If a contact is already assigned with a Primary contact role and when you select Set as Primary for the new contact, it will override existing Primary Contact.
4.Click Add Contact to add user as Key Contact. An invitation link will be shared with the recipient. The user should update the details from the invitation that has been shared.
If a user has not provided first name, last name and title. Such a user is displayed with Email under the Name Column. If the user has LF ID, then the user name is displayed. You can also re invite mail to the user by clicking the mail icon.
In Contact Type, if the domain alias is not matching, you need to raise a customer supper ticket by contacting the customer Support team.
You can view the details related to a key contact by viewing their profile. Profile View provides the following details related to the user:
Name of the key contact
Activities associated with the key contact such as Technical, Events and Trainings
Project name for which key contact is associated with
List of repositories for which the key contact is a maintainer
To view the profile of a key contact, perform the following steps:
1.Click the Name.
2.The Profile dialog box appears with all the details.
Edit Key Contact allows you to either remove the user or reassign with another user.
To edit a key contact, perform the following steps:
1.Click the edit icon associated with a key contact.
2.The Edit User dialog box appears. You can see a table with the list of projects the user is associated with. The following points are important while edit a user:
You can reassign the project to yourself or any other user.
You can either remove the user by clicking the cross mark.
You cannot remove the user who is the primary contact for the project. You need to reassign it to any other user.
If a user is associated with the committees, you need to raise a Customer Support ticket to delete a user.
3.After reassigning of the user, click Save Changes.
When you update a user, there are two actions will be performed. A Happy Path where the user is updated or Error path where the user is not updated for some back end reasons. You can retry updating it again. If you face issues again, you need to raise a Customer Support ticket.
For users listed under Key Contacts, you have the ability to remove their affiliation if they don't have access to the Organization Dashboard (They only appear with "User Access"). To do this, click the Delete User. The procedure is identical to the one outlined in the "User Access (Delete User)" section
The Board and Committees tab is dedicated to displaying and managing who has access to the Organization Dashboard. The Board and Committees list provides list of users from your organization along with their affiliated roles and the appointed by.
Users will not be able to see Missing to LFX and only see users who need access based on their invitation or roles they are associated with your organization.
The Board and Committees page also performs the following actions:
List of users in list view and group view.
Filtering of users
Profile view of the user
Edit access of a user
The Board and Committees table provides you with a list of users from your organization along with their with their affiliated roles. You can view the Board and Committees users in a list or in a group view. It also provides group view of different committees in the project.
You can use the toggle button to display Board and Committees users in Group View or List View.
Administrator can filter Boards and Committees users based on a particular project.
To filter Boards and Committees users by project, perform the following steps:
1.Click Filters. Select the required project and click Apply.
You can view the details related to a Board and Committee user by viewing their profile. Profile View provides the following details related to the user:
Name of the Board and Committee user
Activities associated with the key contact such as Technical, Events and Trainings
Project name for which Board and Committee user is associated with
List of repositories for which the Board and Committee user is a maintainer
To view the profile of a Board and Committee user, perform the following steps:
1.Click the Name.
2.The Profile dialog box appears with all the details.
Administrator can edit the user belonging to board and committee.
To edit Board and Committee user, perform the following steps:
1.Click the edit icon associated with a user.
2.The Profile Snapshot of the user appears. Click Request Change.
3.The Request Change dialog box appears. Provide the Email of the new assignee and give a brief Reason for the Change and click Submit.
Program Management team should validate the change request.
In order to delete the user, you need to raise the customer Support ticket.
The User Access page allows you to display and manage who has access to the Organization Dashboard. The User Access page also performs the following actions:
List of users with admin and viewer access in your organization.
Invite users to the organization
Filtering of users
Profile view of user
Delete a user
Edit access of a user
Users will not be able to see Missing to LFX and only see users who need access based on their invitation or roles they are associated with your organization.
The User Access table provides you with a list of users from your organization along with their dashboard access whether they have admin or view access to the dashboard. It also displays if a user is in a pending invite or removal state.
An Admin user has Grants privileges such as editing, inviting or removing user access, editing or removing key contacts, requesting changes in membership entitlement roles, and editing the profile.
A Viewer user can view and download reports.
Administrator can invite a new user who is contributing to a particular open source project.
To invite a new user to a project, perform the following steps:
1.Click User menu from the vertical sidebar menu.
2.The User page appears. Click Invite Users button available on the top right of the page.
3.The Invite to LFX dialog appears. You can invite a user by providing the email ID or bulk import by upload the CSV file.
Select Enter Recipient radio button, enter the Recipients email ID, select the role that you want to provide the user (admin or viewer role), click Add and click Send Invitation(s) button to invite a new user.
You can add up to 8 users at a time while sending out the invitations.
To invite bulk users(user belonging to your organization), select Upload a CSV radio button, drag and drop the CSV file which has user details and click Send Invitation(s) button.
4. An invitation link will be shared with the recipient. The user should update the details from the invitation that has been shared to add themselves as new employee for an open source project.
The Preview Invitation Email link will provide the preview of the email invitation which will be shared with the invitee. The Preview email contains the details about the invitation as well as FAQs related to the Organization Dashboard.
Administrator can filter users based on access (admin or viewer access).
To filter users by access, perform the following steps:
1.Click Filters. Select the required access and click Apply.
You can view the details related to a user by viewing their profile. Profile View provides the following details related to the user:
Name of the user
Activities associated with the user such as Technical, Events and Trainings
Project name for which user is associated with
List of repositories for which the user is a maintainer
To view the profile of a user, perform the following steps:
1.Click the User Name.
2.The Profile dialog box appears with all the details.
Administrator can edit the access of the user from Admin to Viewer or the other way.
To edit the user access, perform the following steps:
1.Click the pencil icon available under the Actions column.
2.The Edit Access dialog box appears. Click Save Changes to update the access.
The Remove all access button will initiate the deletion of the user.
There will not be any automated email sent to the user. The Administrator has to inform the user about the update to their access.
An administrator can remove the user from the user access table.
To delete a user, perform the following steps:
1.Click the delete icon associated with a user.
2.The Delete User dialog box appears. You can see a table with the list of projects the user is associated with. The following points are important while delete a user:
You need to reassign the project to yourself or any other user.
You can either remove the user by clicking the cross mark.
You cannot remove the user who is the primary contact for the project. You need to reassign it to any other user.
If a user is associated with the committees, you need to raise a Customer Support ticket to delete a user.
3.After reassigning of the user, select the I understand message and click Delete User.
When you delete a user, there are two actions will be performed. A Success Path where the user is deleted or Error path where the user is not deleted for some back end reasons. You can retry deleting it again. If you face issues again, you need to raise a Customer Support ticket.
Q: When you delete a user, what happens if they are in a failed state?
You will not be able to successfully delete the user. Some actions to reassign and remove roles will appear, however the remaining ones are the ones that have been removed/changed.
Q: When you delete a user what happens?
The user you’ve deleted no longer has access to the Organization Dashboard.
Any future company affiliation data from the user will no longer appear - Training, Events, Project Contributions, etc. You’ll still see their past activity data.
All the reassignment/edits will appear instantaneously on the users.
Q: What if I no longer see Committee seats for my Active Membership?
Before deleting a user, always ensure the Committee seats are checked and coordinated with the Program Manager for proper reassignment.
